Hi there

I've been asked by a customer to install some software onto a local domain to monitor users internet usage, in particular websites visited, and sent emails. It's only a small network with 8 users so no need for Enterprise level (price!!).

They are running SBS 2011 Standard and a mixture of XP and W7. I know you can access other users mailboxes but the there is one particular user who is deleting some sent emails as soon as they are sent.

Recommendations welcome.

One option would be to create a Web Proxy Server, that then could build reports for the types of data you need.

Another would be to get a different Router/Firewall such as a SonicWAll 4500 (from Dell). This appliance has all sorts of tracking data that can be compiled and saved for reporting through their ViewPoint (free) software or Analyzer (small charge for detailed reporting).

I can track Netflix traffic(Facebook, YouTube, Twitter and others) to specific workstations,data per source, data per user etc.

Also has some easy to use Filtering and Protection systems for the network as well.

Something else you should recommend, a Company/Corporate policy that tells the employees that their use is being monitored by management. They may also want to specify what employees are permitted to access during the work day.

I used to do forensics for large corporate / gov't contractor and did some civil case work with local PD's. As Rastor said above, policy and up front disclosure has to be in place, for different reasons and at what level it is needed for.

Example, to use the information to terminate if done incorrectly you can have legal issues in some states. Even if you are collecting and providing the data to local or federal law enforcement, you could be at risk of legal issues for providing this information in such a case.

Consult an attorney and learn the correct methods for what is called, chain of evidence for your area or state for all forms of data.

As an example, most of the terminations that my investigations would lead too would not be for an employee viewing porn while at work and how it was inappropriate to do such a thing. No, all of terminations would be done for false time charging of work hours. No place in the offender’s job description was it ever acceptable for them to view porn, and when they did such a thing, it was a time charge violation and grounds for termination. This was the direction our 21 on staff attorneys would spin each instance for all things related to using email, web and other computer or network resources and is why I would recommend you share this information with whom you are working for as you consult with them about doing an investigation.

Thanks for the replies.

I mentioned policies to them and they are getting a new usage policy written to be signed by all staff before this takes place.

I've just started trialling http://www.workexaminer.com/ on the manager's computer from the server.

Looks like it can do what they want and is very reasonably priced. I'll keep you posted.

Isn't that overkill for only 8 users? I managed a network of 16 users & never once did the boss ask me to install something like that. It's easy to know who is working & who is wasting time on the net, in such a small place.

They have issues with a particular staff member. In these days of employment rights evidence has to be watertight.
